Messaging (Chat)
The Vodia PBX Chat feature allows you to communicate with other extensions and external contacts via text messaging. You can send text messages, images, files, and notes, as well as initiate calls directly from the chat interface.
The chat system integrates with the rest of the Vodia PBX, allowing for a seamless communication experience across different channels.
Chat List
Viewing Your Chats
The chat list displays all your ongoing conversations in chronological order, with the most recent conversations at the top.
- Navigate to the Chat section of your Vodia PBX interface
- The list displays chats with both internal extensions and external contacts
- New messages are highlighted with a star icon
Chat List Features
The chat list provides several features to help you manage your conversations:
- Search: Use the search bar to filter chats by name or number
- Pagination: Navigate through multiple pages of chats using the paginator
- Sorting: Chats are automatically sorted with the most recent activity at the top
- Preview: See a preview of the last message in each conversation
- Timestamp: View when the last message was received or sent
Chat Actions
For each chat in the list, you can perform several actions:
- Open Chat: Click on the chat or the "Open" button to open the conversation
- Audio Call: Initiate an audio call to the contact
- Video Call: Start a video call (only available for internal extensions if video calling is enabled)
- Show Contact: View contact details (not available for internal extensions)
- Mark as Read/Unread: Toggle the read status of the conversation
- Delete: Remove the chat from your list
To access these options:
- Click the dropdown menu button next to a chat
- Select the desired action from the menu
You can quickly open a chat by clicking anywhere on the chat entry in the list.
Starting a New Chat
With a New Contact
- Click the "Add" button in the chat list toolbar
- Enter the contact's name in the "Name" field
- Enter the contact's phone number in the "Number" field
- Click "OK" to create the new chat
From Contacts
If you want to chat with an existing contact:
- Open the contact's details
- Click on the chat option in the contact's actions
Using the Chat Interface
Sending Text Messages
- Type your message in the text field at the bottom of the chat window
- Press Enter or click the Send button (appears when you start typing)
- Your message will appear on the right side of the chat window
- Received messages appear on the left side
Press Enter to send a message quickly.
Sending Files and Images
You can share files and images in your chats using several methods:
Method 1: Using the Upload Button
- Click the Upload button (paperclip icon) next to the message field
- Select a file from your device
- The file preview will appear (for images and PDFs)
- Click the Send button to share the file
Method 2: Drag and Drop
- Drag a file from your computer
- Drop it into the message text field
- The file preview will appear (for images and PDFs)
- Click the Send button to share the file
Method 3: Copy and Paste
- Copy an image to your clipboard (e.g., screenshot)
- Click in the message field
- Press Ctrl+V (or Cmd+V on Mac) to paste
- The image preview will appear
- Click the Send button to share the image
Large images will be automatically resized to optimize for sending over MMS.
Adding Notes
You can add private or public notes to your chats:
- Click the Note button (note icon) next to the message field
- Type your note in the text area
- Select the note type:
- Private: Only visible to you
- Public: Visible to others with access to this chat
- Click "Save" to add the note
Making Calls from Chat
To call a contact directly from the chat interface:
- Click the Call button (phone icon) in the chat header
- The system will initiate a call to the contact
Managing Chats
Marking Messages as Read/Unread
To change the read status of a chat:
- In the chat list, click the dropdown menu next to the chat
- Select "Mark as Read" or "Mark as New"
Deleting Chats
Deleting a Single Chat
- In the chat list, click the dropdown menu next to the chat
- Select "Delete"
- Confirm the deletion when prompted
Deleting Multiple Chats
- Check the boxes next to the chats you want to delete
- Click the Delete button in the toolbar
- Confirm the deletion when prompted
Deleted chats cannot be recovered. Make sure you want to permanently remove the conversation before confirming.
Troubleshooting
Common Issues
Issue: Messages not sending
- Check your network connection
- Verify that the contact's number is correct
- Ensure SMS/MMS services are enabled for your account
Issue: Unable to view or download files
- Check if your browser supports the file format
- Ensure you have sufficient permissions to download files
- For large files, check your internet connection
Issue: Chat features not appearing
- Verify that chat functionality is enabled for your account
- Check with your system administrator about your permissions
- Ensure you're using a compatible browser and version
