Vodia DATEV Host

The Vodia DATEV Host is a Windows tray application that reports the calls of a Vodia PBX account to DATEV Arbeitsplatz, looks up callers in the DATEV master data, and places calls requested from DATEV.

The host tracks calls on the PBX. It does not matter where a call is answered or placed: Vodia app, desk phone, DECT handset or a forwarded call are all reported the same way.

Requirements​

  • DATEV Arbeitsplatz with DATEV Telefonie Basis on the workstation
  • DATEV Basis on the workstation, for importing contacts from the DATEV Stammdatendienst
  • A Vodia PBX account
  • To place calls from DATEV or from the Contacts tab: Vodia Phone or the Vodia Web phone installed as a PWA on the workstation

Sign In​

The window opens on the login page:

  • PBX host: hostname only, without https://
  • Domain: leave empty unless the tenant differs from the host name
  • User and Password: the PBX account whose calls are reported
  • Language: English or German. The window, the call pop-up and the tray menu change immediately, and the choice is saved
  • Remember me on this computer: the host signs in by itself at the next start

Sign out (Settings tab or tray menu) returns to the login page and forgets the saved password. To change the PBX, the account or the password, sign out and sign in again.

After sign-in, the header of the window shows the account's picture, name and extension, and which app calls are placed with. The status bar shows the PBX connection, whether DATEV Arbeitsplatz is running, and how many contacts are loaded from which source.

Call Pop-Up​

Every reported call opens a pop-up in the bottom right corner of the screen. Further calls stack above it. The pop-up does not take the keyboard focus away from the application you are working in.

The pop-up shows:

  • Title: Incoming call or Outgoing call
  • Extension: top right, the extension the call belongs to
  • Number: with an arrow for the direction (← incoming, → outgoing)
  • Name: the matching DATEV contact, with its source (Addressee or Institution). If several contacts share the number, the dropdown lists all of them and you pick the right one. If no DATEV contact matches, the name the PBX has for the caller is shown
  • Note: free text for the call. It is taken over when you press Enter or leave the field
  • Daten an DATEV weitergeben: the DATEV-Klick. Passes the call to DATEV with the selected contact and the note. After that, the button reads Passed to DATEV
  • State: ringing, connected, finished or missed

A contact picked from the dropdown or a note entered after the call was passed to DATEV is sent to DATEV as well.

After the call ends, the pop-up stays open for the time set under Keep the call window for (seconds), so the DATEV-Klick can still be used.

Automatic Transfer or DATEV-Klick​

  • Require DATEV-Klick before anything is sent off: every call is passed to DATEV as soon as it appears, and the pop-up shows Passed to DATEV straight away
  • Require DATEV-Klick before anything is sent on: nothing reaches DATEV until the user presses the DATEV-Klick in the pop-up or in the journal

When a call ends, DATEV receives Finished for an answered call and Absence for a call that was never answered.

Journal​

The Journal tab lists every call the host has seen, newest first, including calls that are still ringing or connected. The tray menu's Call history opens it.

Finished calls are saved in a journal file per PBX account, the newest 500. They survive a restart and a sign-out.

PBX Call History​

When a call ends, the host reads the account's call history from the PBX (/rest/user/<account>@<domain>/history) and corrects the journal entry where the PBX record differs: direction, number, start, connect and end time, and the name if the entry has none. What has already been sent to DATEV is not changed.

Sending and Editing Entries​

Select an entry, then:

  • Daten an DATEV weitergeben (button above the list, or right-click): sends the entry to DATEV. An entry can be sent as often as needed
  • Edit… (button, right-click, or double-click): opens the journal entry dialog

The journal entry dialog shows the call's direction, time, number and state, and lets you change:

  • Addressee: the current addressee, followed by every DATEV contact matching the number. A name that came from the PBX is marked not from DATEV
  • Note: the note for the entry

Save keeps the changes, Daten an DATEV weitergeben saves and sends the entry, Cancel discards. Enter saves.

Requests From DATEV​

DATEV can ask the host for a past call by its CallID. The host answers from the journal with direction, start and end, final state, number, addressee and note.

Contacts​

The Contacts tab lists the contacts imported from DATEV.

  • Search: filters by name or number
  • Source filter: All sources, Adressaten or Institutionen
  • Reload from DATEV: imports the contacts again
  • Status line: number of contacts per source, when they were loaded, and the automatic re-import interval

Each contact shows its name, its source, and its numbers in columns. Every number has a green call button. Clicking it places the call with the app selected under Place calls with. The call carries the contact, so the pop-up, the journal and DATEV show that contact.

Right-click a contact for:

  • Copy name
  • Copy number ▸ one of the contact's numbers
  • Copy row
  • Dial ▸ one of the contact's numbers

Ctrl+C copies the selected rows, tab-separated.

Calls From DATEV​

A number dialled in DATEV opens a pop-up for the outgoing call and is handed to the app selected under Place calls with:

  • Vodia Phone: the Windows app, opened with a vodia:// link
  • Web phone (PWA): the PBX's web phone installed as a PWA, opened with a web+vodia:// link
  • No app: the host places no call. The pop-up shows the number, and the call is reported once it is placed from any device

The settings page shows not installed next to an app that is missing on the workstation, with a link to get it.

Settings​

Open the Settings tab, or Settings… in the tray menu, and press Save.

Include internal calls, Place calls with, the re-import interval and the pop-up time apply immediately. The contact source and the DATEV-Klick setting apply at the next start, or after signing out and in again.

PBX Connection​

  • Dial extension: the extension of the signed-in account
  • Report every call in the tenant: off, only the signed-in account's calls are reported. On, every call in the tenant is reported. Requires an account that may see the tenant's calls

Contacts​

  • DATEV Stammdatendienst (SDD): imports Adressaten and Institutionen from DATEV
    • Include institutions
    • Active addressees only: skips addressees with status 0
  • Client Master Data REST API: imports Adressaten only, over DATEV's local REST interface. Ignored while SDD is on. Settings: API base URL (empty uses the built-in default), API user, API password, Active addressees only (REST)
  • Re-import contacts every (minutes): 0 turns the automatic re-import off, the maximum is 10080 (one week). A re-import that comes due during a call waits until the call has ended

Call Handling​

  • Place calls with: Vodia Phone, Web phone (PWA) or No app. See Calls From DATEV
  • Include internal calls: also report extension-to-extension calls
  • Require DATEV-Klick before anything is sent: see Automatic Transfer or DATEV-Klick
  • Keep the call window for (seconds): how long the pop-up stays after the call ends. 0 closes it at hangup, the maximum is 600

Diagnostics​

  • Write a log file
  • Log file: empty writes to %LOCALAPPDATA%\Vodia\DatevHost\host.log
  • Open log file

Saving​

Remember these settings writes the settings to %LOCALAPPDATA%\Vodia\DatevHost\settings.json. Passwords are encrypted with Windows DPAPI and can only be read by the same Windows account on the same computer. Clearing it deletes the file, passwords included.

Tray​

The host runs in the notification area. Closing the window hides it; Exit ends the host. The icon's tooltip shows whether DATEV is running, whether the PBX is connected, and the number of contacts.
