Phone Interface

The Vodia PBX phone system provides a complete browser-based calling solution that lets you make and receive calls directly from your web browser. This guide will help you understand how to use the built-in phone features effectively.

Getting Started

To access the phone features, log in to your Vodia PBX web interface. The phone functionality is integrated into the main interface, so you don't need to install any additional software.

Making Calls

Quick Dial

The quick dial feature allows you to quickly place calls from anywhere in the interface.

  • Press Cmd+D (Mac) to access the quick dial field
  • Enter the phone number you wish to call
  • Press Enter or click the green phone icon to initiate the call

You can find the quick dial input in the top navigation bar of the interface.

Calling from Contacts

You can also place calls directly from your contacts list:

  1. Navigate to the Contacts section in the navigation menu
  2. Find the contact you wish to call
  3. Click the phone icon next to their name to initiate a call

Receiving Calls

When you receive an incoming call, you'll see a call notification with caller information and have several options:

Answer Options

  • Accept Audio: Click the audio button (phone icon) to answer with audio only
  • Accept Video: If the caller is using video, you can click the video button to accept with video
  • Decline: Click the red hang-up button to decline the call

When you receive a call, your browser will play the configured ringtone. Make sure your system volume is set appropriately.

Call Controls

During an active call, you have several controls available:

Basic Controls

  • End Call: Click the red hang-up button to end the call
  • Hold/Resume: Toggle the hold button to place the call on hold or resume a held call
  • Mute: Click the microphone button to mute/unmute your microphone
  • Record: Toggle the record button to start or stop recording the call
  • Dialpad: Click the dialpad button to open a numeric keypad for entering DTMF tones

Advanced Controls

Transfer

  • Click the transfer button to forward the call to another number
  • Enter the destination number in the dialog box
  • Click OK to complete the transfer

Video Calls

When in a video call, you'll see:

  • Remote Video: The caller's video will display in the main window
  • Local Video: Your video will appear as a small overlay in the top-left corner

During a video call, all the same controls available for audio calls (mute, hold, etc.) will also be available.

Conference Calls

When participating in a conference call, you'll see a list of all participants with additional information:

  • Participant Name/Number: Shows who is in the conference
  • Join Time: Displays when each participant joined
  • Mute Controls: If you have permission, you can mute/unmute participants

Conference Features

  • View all participants in real-time
  • See who is currently speaking
  • Mute individual participants (requires appropriate permissions)

Call Display Information

During a call, you'll see important information displayed:

  • Caller Name: The name of the caller (if available)
  • Caller Number: The phone number of the caller
  • Call Duration: Timer showing how long the call has been active
  • Call Status: Visual indicators showing if the call is on hold, muted, etc.

Additional Call Information

  • Diversion Information: If the call was forwarded, you'll see where it came from
  • Group Information: If the call belongs to a group, you'll see the group name and number

Keyboard Shortcuts

The following keyboard shortcuts are available during calls:

Settings

You can customize your calling experience with these settings:

Audio/Video Device Selection

Your system remembers your preferred devices for:

  • Microphone
  • Speakers
  • Camera
  • Ringtone output

To change these settings, update them in your browser settings or in the Vodia PBX settings menu.

Troubleshooting

Common Issues

Fixing Permission Issues

If your browser blocks access to your microphone or camera:

  1. Look for the camera/microphone icon in your browser's address bar
  2. Click it and select "Allow" for the Vodia PBX site
  3. Refresh the page and try again
