Fax Feature

Overview

The Fax feature allows you to send documents as faxes directly from your Vodia PBX interface. You can upload PDF documents, preview them page by page, and send them to any fax number.

Getting Started

Accessing the Fax Interface

  1. Locate your account avatar in the top-right corner of the Vodia interface
  2. Click on your avatar or the ellipsis (three vertical dots) next to it
  3. A dropdown menu will appear with various options
  4. Select "Fax" from the dropdown menu

Fax Interface Components

The Fax interface consists of:

  • A control bar at the top with input fields and action buttons
  • A preview area that displays the current document page
  • Page navigation controls for multi-page documents

How to Send a Fax

Step 1: Prepare Your Document

Before sending a fax, you need to upload a document. The system currently supports:

  • PDF documents (recommended)
  • Image files (functionality may be limited)

Step 2: Upload Your Document

You have multiple ways to upload a document:

Method 1: Use the Upload Button

  1. Click the upload button (paper clip icon) in the top toolbar
  2. A file browser will open
  3. Select your PDF file and click "Open"

Method 2: Drag and Drop

  1. Simply drag a PDF file from your computer
  2. Drop it onto the preview area in the Fax interface

After uploading, your document will be displayed in the preview area, showing the first page.

Step 3: Preview Your Document

  • Use the page navigation controls to move between pages
  • The preview shows exactly how your document will appear when sent
  • Each page includes an automatically generated header with your fax number, the current date and time, and page numbers

Step 4: Enter the Destination Fax Number

  • Type the destination fax number in the number input field
  • The system will format the number according to your configured number format

Make sure to include the country code if sending to an international destination.

Step 5: Send the Fax

  • Once your document is loaded and you've entered the destination number, click the send button
  • The system will begin processing and sending your document
  • A progress bar will appear showing the current status of your fax transmission
  • The system will display the current page being sent and the total number of pages

Step 6: Monitor Transmission Progress

During transmission:

  • The progress bar shows the percentage of the current page that has been transmitted
  • The page counter shows which page is currently being sent
  • You can cancel the transmission at any time by clicking the stop button

Fax Headers

Each fax page includes a header with the following information:

  • Left side: Your fax number (caller ID)
  • Right side: Current date, time, and page numbers (e.g., "03/18/2025 14:30 Page: 1/3")

These headers are automatically added to ensure your faxes include proper identification information.

Troubleshooting

Common Issues

Document Won't Upload

  • Ensure your PDF is not corrupted
  • Check that the file size is reasonable (large files may take longer to process)
  • Try converting your document to a standard PDF format if it was created in a specialized application

Fax Won't Send

  • Verify that you've entered a valid fax number
  • Ensure your system has proper fax capabilities configured
  • Check your network connection

Poor Quality Fax

  • For best results, use high-contrast, clear documents
  • Text documents typically produce better results than photographs or complex graphics
  • Standard letter/A4 sized documents work best
  • Call Logs: Check the status of sent faxes in your call logs
  • Contacts: Send faxes directly to contacts that have fax numbers stored

For important or time-sensitive faxes, consider verifying receipt with the recipient.
